Data Collection
You do not need an account to browse the public website. If you choose to submit a form, we process the information you provide for that response or enquiry. Technical cookies protect form submissions and sign-in sessions.
- We do not sell personal information or use advertising pixels.
- We do not use survey answers to build advertising profiles.
- Student survey safeguards are described below.
We run the Plausible Analytics script to collect some anonymous usage data for statistical purposes. The goal is to track overall trends in our website traffic; it is not to track individual visitors. All the data is in aggregate only. No personal data is collected.
Our servers are collecting IP addresses for logging purposes and are not tied to user accounts or entered data.

Embedded content
Please refer to each source Privacy Policy. Here is listed privacy policies for most used embedded content:
- While playing or searching (we are using YouTube API Services) YouTube videos. See YouTube terms and Google for more.
- While displaying any image on Flickr or using Flickr image search. See for more.

- Any other linked content (you can see all linked content in the poster view using the links icon in top right corner).
As a Registered User of Canvastera
- An email address is required to create an account.
- A persistent first-party cookie is stored to remember you’re logged in.
- All data that we collect is kept fully secured, encrypted, and hosted in Falkenstein, Germany using Hetzner (database, website, privacy policy) and DigitalOcean services (file data, privacy policy).
- All emails are sent using a third-party email provider. See brevo.com privacy policy.
- When you write to us with a question or to ask for help, we keep that correspondence, including the email address, so that we have a history of past correspondences to reference if you reach out in the future. We use this data solely in connection with answering the queries we receive.
- When you submit feedback or feature requests, we keep that feedback, which includes the email address. We use this to understand the popularity of requests and to send you a notification when the feature you requested has been released.
Canvastera 2.0 surveys and research enquiries
RedTag s.r.o. operates these voluntary surveys. We use responses to assess the learning concept, plan classroom activities, and review potential research partnerships.
- Student feedback is for participants aged 13 and older. It uses closed-choice questions. We do not store a student's account ID, name, email address, or browser information with the response. Do not provide personal information about yourself or others.
- Teacher responses may include classroom feedback and optional contact details for pilot opportunities. If you are signed in, the response is associated with your account and uses your account email when available. Pilot contact and future updates depend on the choices you make in the survey.
- Research enquiries include organization details, professional contact information, expertise, and the proposed partnership role. We use this information to review the enquiry and discuss possible cooperation. Future research updates are a separate, optional choice.
- Survey responses and contact details are stored within Canvastera and can be reviewed by authorized staff. Our team receives a Slack notification containing the survey type and a link to the response in our administration system. Notifications do not include survey answers, names, email addresses, account IDs, organization names, or browser information. Survey answers are not sent to analytics services.
- A temporary response identifier helps prevent repeated submissions. It is not used to track browsing activity. Server access logs can still contain technical information as described above.
We keep responses for the purposes described here, in accordance with the retention policy below. Contact info@canvastera.com to ask about your response or request its deletion. Student responses do not contain account or contact details, so we may be unable to identify a particular student's response.
Retention of Data
We will retain your information as long as your account is active, as necessary to provide you with the services or as otherwise set forth in this policy. We will also retain and use this information as necessary for the purposes set out in this policy and to the extent necessary to comply with our legal obligations, resolve disputes, enforce our agreements, and protect Canvastera’s legal rights.
Planned poster retention
- Free posters will be retained for up to 18 months from creation. Editing or viewing will not reset this period.
- Single personal posters will remain stored while the subscription is active, followed by an additional 18-month retention period after expiration.
- Posters created within a Group by any user will remain stored while the Group subscription is active, followed by up to 18 months after expiration, subject to institutional agreements and applicable legal requirements.
- Personal posters belonging to Admins, Group Mentors, and Members will follow their own Free or Single retention policies.
- Beta-period posters will receive a fresh 18-month retention period from the policy’s effective date.
We will send advance deletion notifications so users can preserve their content or renew an eligible subscription. After the applicable retention period, posters and associated stored media may be permanently deleted.
Poster Privacy Assurance
We assure you that we do not offer any tools for our staff to access or view your private posters. Your posters are secure and protected from unauthorized eyes, reinforcing our commitment to maintaining the utmost confidentiality. Search engines are informed to not index any poster.
Planned managed Student accounts
Group management is in development. Managed Student accounts will have no personal private workspace. Students can create private posters in a Group or Group Community. Their posters, including drafts, will be stored under the Group subscription and accessible to authorized Admins and Group Mentors assigned to that Group. Students will be restricted to assigned Communities. Group subscriptions will support unlimited Viewers without licensed seats. Viewers can see content permitted by Group and Community settings, but cannot create or edit Group posters. Users with a role other than Viewer can create posters within a Group under its subscription plan. Private Group posters will remain visible to authorized Admins. Community visibility lets other users and Students see shared content, subject to Community and Group settings. Any user except a Student can create personal private posters outside the Group under their own Free or Single plan. Only the creator can see those personal private posters.

We may update this policy as needed to comply with relevant regulations and reflect any new practices.
